Updating products and inventory in Shopify using CSV exports is fast, but it carries high operational risk. A single misplaced column header or broken variant handle can accidentally split your product catalog into hundreds of orphaned listings or wipe out stock quantities across live sales channels.
Before you upload your edited CSV and click "Overwrite any current products that have the same handle," perform this five-point pre-import audit.
1. The Handle Integrity Rule
In Shopify's schema, the Handle column is the master primary key grouping all variants of a product together:
- The first row of a product must contain the
Handle,Title, and base product attributes. - Subsequent variant rows for that same product must keep the exact same Handle, but should leave
Title,Body (HTML), andVendorblank. - If a spreadsheet sort accidentally disconnects variant rows from their Handle, Shopify will treat each orphan row as an entirely separate standalone product or reject the file completely.
2. Variant SKU Uniqueness
While Shopify technically permits duplicate SKUs, modern inventory tracking systems, shipping integrations (e.g. ShipStation), and POS systems break when multiple products share an identical SKU. Verify that every distinct variant carries a unique identifier.
3. Decimal Precision & Currency Formatting
Check the Variant Price and Variant Compare At Price columns:
- Remove all currency symbols (
$,CAD,USD). Shopify requires pure numbers (e.g.,29.99). - Ensure decimal separators are periods (
.), not European commas (,). An item intended to sell for$24.50entered as24,50can import as$2,450.00or trigger a schema validation error.
4. Inventory Tracker & Policy Settings
If you track inventory in Shopify, confirm:
Variant Inventory Trackeris set toshopify(all lowercase).Variant Inventory Policyis set to eitherdeny(stop selling when out of stock) orcontinue.- Never leave these fields partially populated across variants of the same product.
5. Protect Body HTML from Delimiter Collisions
Product descriptions in the Body (HTML) column frequently contain raw HTML tags, inline styling, quotes, and commas. If your export/edit software doesn't properly escape inner quotation marks (""), the text will spill across adjacent columns and corrupt the whole file.
